Gmail
Email summary based on Gmail, but most email programs have similar functions.
sending an email:
To – This is where you put the email address of the recipient, separate more than one address with comma
Cc – This is where you put the email address of the one you want to get a copy of the email. Cc stands for ‘carbon copy’.
Bcc – This is where you put the email address of the one you want to get a copy of the email without the ones listed under ‘To’ and ‘Cc’ knows about it. Bcc stands for ‘blind carbon copy’.
Subject – This is where you put the title for your email.
Message: This is where you write the text of your email.
Group – If you frequently send emails to the same group of people create a (contact) group. Type the name of the contact group in the To, Cc, or Bcc box to use it. Add the group under Bcc if you don’t want others to see the email addresses in the group.
Attachment – You may attach files like pictures and documents to your email.
Draft – If you are not ready to send the email you are writing, save it as a draft and send it later.
Signature – You may have text added automatically to all the emails you write by adding the text to your signature. The signature may be your address, contact information, a quote you like, or anything else.
receiving an email:
Archive – When you receive an email you may archive it after you have read it. That puts it in the All Mail section and removes it from the Inbox.
Forward – When you receive an email you think others should see you may forward it to them by clicking the Forward link.
Reply – To reply to an email click the Reply link and the address of the sender is automatically put into the To box.
Reply to all – To reply to all recipients of an email you get, click Reply to all.
Label – You may add one or more labels to an incoming email. That way it will appear under that label on the left side of the screen.
Star – If the email you receive is very important you may Star it. It will then appear under Starred on the left side of the screen.
Spam – The email program will put emails it believes to be spam (unsolicited emails, usually advertisements) in the Spam section on the left side of the screen. To make sure emails do not end up there, add the email address to your Contacts. If the email you received is spam, click Report Spam.
Trash – If you delete an email it will end up under Trash on the left side of the screen.
Filter – You may create a filter so emails from a certain address always get a label added to it automatically. There are many other uses of filter.
Vacation responder – If you will not be able to respond to emails for some time, turn on the vacation responder. That way when people email you they will automatically get a reply. The reply is the email you set up in your vacation responder.
looking for an email:
Simple search – Type text and click the Search Mail button to search for emails you have sent or received.
Advanced search – Same as Simple Search, but with many more options for narrowing down the search.
